Scope of work

Scope of work entails two main roles:
Warehouse facility negotiations
Handle all existing /new leases for real estate from negotiation to renewal or close out of leases.
Explore new locations or ventures for real estate investments, cost estimates, procurement.
Contract administration including annual maintenance contracts

Material Procurement

  • Negotiator for procurements of material and services for the company
  • Facilitate adherence and implementation of purchasing policies, procedures and systems

Job description and responsibilities:

The successful candidate will be responsible for the following duties and key performance areas (KPI to be agreed upon appointment):

Warehouse land lease

  • Management of Contract Variations
  • Payment Applications
  • Management of Sub-lease
  • Participation in lease & Dispute Settlement.
  • Involvement in lease Negotiation & Signing to make sure that risk not involved in the deal.
  • Managing tendering process and awarding contracts, coordinating with contractors for commercial negotiations, cost estimates including billing & claims etc.
  • Involved in interpreting contractual obligations & rights and evaluation of technical/ financial problems for management reporting.
  • Applying innovative control methods that consistently delivering bottom line savings.
  • Lease Administration (Main leases & Sub-leases)
  • Verifying Sub-Lease Payments as per Agreement.


  • Stay abreast of new processes, technologies, materials, purchasing methods, statutory requirements and market conditions.
  • Management of Contract Variations
  • Communicate with management on any significant factors that could affect business, material cost, utility cost, or the financial impact to the Company.
  • Manage centralized purchasing and contract functions for a multi divisional organization
  • Review and evaluate competitive suppliers. Make presentation and recommendation to respective authorities and upon approval, award contract / purchase order.
  • Measure vendor performance, cancel or suspend contract/ purchase orders
  • Make visits to Companies offices and warehouses to measure productivity and progression
  • Ensure quality standards are met through administration of purchasing complaints

Required Qualifications:

  • Diploma / Degree – preferably either a business law, and or commerce qualification
  • Minimum 5 years’ experience at senior management level
  • At least 3 years of people management at middle to senior management
  • Advanced proficiencies in Windows suite - Word, Excel, PowerPoint etc
  • Knowledge of ERP / Microsoft Dynamics AX 2012 is a plus

  • Strong understanding of warehouse rentals and resource
  • Excellent understanding and experience in contract management and administration of contracts
  • Solid all round experience from cost-planning to post-contract
  • Excellent Communication Skills
  • Expert negotiating skills
  • Basic Knowledge of Business laws, commercial agreements and documentation.
  • Resolving contractual and commercial problems
  • Risk assessment  and Ensuring that all stakeholders, such as administration, operations, and finance  understand and adhere to contractual obligations; reflecting them Appreciate a multicultural environment

Reporting to:

  • One primary reporting line to Finance Manager
